Job Summary
The HR and Administration Officer will provide day-to-day administrative and clerical support to both the Administration and Human Resources departments. The successful candidate will help organize internal operations, maintain employee documentation, coordinate meetings and communications, assist in onboarding and payroll activities, and support staff training and wellbeing initiatives.
This role requires someone with excellent organizational skills, strong communication abilities, and the capacity to handle sensitive HR information confidentially.
Key Duties and Responsibilities
Administration Support
- Maintain and organize administrative and HR files, employee records, and documentation accurately.
- Assist the administration team in managing communications, including emails, phone calls, written correspondence, and voicemail.
- Draft, edit, and manage letters, reports, proposals, emails, and official documents while ensuring timely follow-ups.
- Coordinate meetings, venue bookings, travel arrangements, and hotel reservations where necessary.
- Ensure meeting venues have required equipment and materials available.
- Professionally represent Nordic Medical Centre during networking events and official engagements.
- Liaise positively and professionally with staff, stakeholders, visitors, and external partners.
- Monitor deadlines and assigned tasks while providing timely progress updates.
- Take accurate meeting minutes and maintain official records when required.
- Deliver office support services to improve administrative efficiency and effectiveness.
Human Resource Support
- Provide clerical and administrative support to the Human Resources department.
- Assist with onboarding and new employee orientation programs.
- Support monthly payroll processing and employee documentation management.
- Help coordinate staff training sessions, identify development needs, and maintain training records.
- Assist with employee welfare, workplace wellbeing, and HR compliance initiatives.
- Maintain confidentiality of employee files and sensitive workplace information.

Education and Qualifications
Applicants should possess:
